Follow these instructions to import assets from a Microsoft Excel spreadsheet into a new Fixed Assets installation or to do an ad hoc import of new assets into an existing Fixed Assets installation.
Refer to the table on the Spreadsheet Import Help topic for more details of the spreadsheet import.
Important: Take a backup of your company's data before running the import.
If Fixed Assets is linked to the Nominal ledger, make sure all the required accounts and cost centres are set up in the Nominal Ledger.
Open the Fixed Assets folder and then
click Utilities
or click the Financials
tab on the Ribbon Bar and then
click Fixed Assets
- Utilities.
Click Set Options. Then update the boxes on the form to set the options that affect the operation of Fixed Assets, and choose the Nominal Ledger accounts. Then click OK.
Open the Maintenance folder and click Asset Categories. Then add the Asset Categories you need for your assets and close the form.
Click Utilities again and click Spreadsheet Import. Then click the Example XLS button to create an example spreadsheet.
Remove the example records from the spreadsheet (do not remove the column headings) and update it with the records you want to import. Then save the spreadsheet as FixedAssetsImport.xls in the ?_Spreadsheet sub folder and close the file.
Run the Spreadsheet Import command again and click OK. If there are errors in the spreadsheet a report will be displayed. If the import is successful, check the imported assets are correct on the Fixed Assets Processing form or by printing the Asset List.
Note: If you use the Advanced Nominal Ledger feature, after the import use the Override form to link the necessary Nominal Ledger dimensions to each asset (for example, a project or department).
